Getting started

How do I sign up and get my business running?

One form does the whole thing: your name, email and a password of at least eight characters, then your business name, your city or district, and what kind of business you run. There is no confirmation email to wait for — you are signed in and looking at your dashboard straight away.

The business type you pick decides which module switches on, so choose the one that matches what you actually sell. From there, add a few products (or dishes, or units) and you can take your first payment the same day.

Which module do I get, and can I add another one later?

You get the one that matches your business type: Shop for retail, Pharmacy for pharmacies, Restaurant for restaurants, and Rentals if you picked Property. Invoices, Money, Messaging and Reports are shared and always there. A module you do not have simply never appears in your sidebar.

To add a second module to the same business, message us and we will switch it on for your account, up to what your plan allows. If the two businesses are genuinely separate — a shop and a restaurant with different stock and different money — it is usually cleaner to create a second business instead, from Settings, and switch between them in the sidebar. Each business keeps its own stock, customers and ledger.

Can my staff log in, and what can each of them see?

Yes. Go to Settings, then Team, and invite them by email — if they have no account yet, one is created for them. There are four roles: Owner sees everything including billing, Manager works the modules and reports but cannot touch billing, Cashier is limited to sales and orders, and Front desk is for whoever sits at the counter.

Only an owner can invite people, change a role, or remove somebody, and the system will never let a business end up with no owner at all. You can hand ownership over to someone else and step yourself down to Manager if you are handing the business on.

Settings, then Staff, is a different list — that is your payroll and time-clock roster with names, phone numbers, monthly salary and shift. Those people do not get a login unless you also invite them to the team.

Shop & Pharmacy

Can I use a barcode scanner at the till?

Yes. A scanner is really just a keyboard that types a code and presses enter, so point it at the search box and it works. The search matches on the product name or its SKU, so the barcode you scan has to be saved as that product’s SKU when you add it.

If you would rather not scan, the same box searches by name, and the category chips above the grid narrow it down fast when a customer is waiting.

What is a credit (deyn) sale, and when does that money count as mine?

Attach a customer to the ticket first — then the Credit tender unlocks. The goods leave your stock immediately and the amount is added to that customer’s balance, so you always know who owes what.

A credit sale puts nothing in the Money ledger at the moment of sale. The money is only counted as revenue when you actually collect it, which is the honest way round: your overview, your reports and your monthly statement never show money you have not been handed yet.

To collect, open Customers and use the ⋯ button on that person’s row. Choose EVC Plus, Zaad, Sahal, eDahab or cash, and the amount is filled in with whatever they owe. You cannot accidentally collect more than the balance, and the collection lands in the ledger the moment you save it.

How do I chase the customers who owe me?

The Customers screen has filters for With credit and Overdue. A customer counts as overdue once they owe you something and have not been back in more than ten days. The tiles at the top show the total outstanding, what you have collected this month, and who your worst debtor is.

The Remind debtors button sends one SMS to every customer with an outstanding balance and a phone number on file, telling them what they owe and where. Every attempt is written to your Messaging log, and anyone with no phone number saved is reported back to you as skipped rather than quietly dropped.

Text messages only leave the building if your SMS connection is set up. If nothing sends, that is almost always what it is — message us and we will check it.

How do I know what to reorder, and how do I book new stock in?

Give each product a reorder level when you add it. Once the quantity drops to that level the row turns amber and reads "Low · reorder"; at zero it goes red. If you leave the reorder level at zero you will only ever be warned when the item is completely out, so it is worth setting.

Stock comes off automatically with every sale, and if a line does not have enough behind it the whole sale is refused rather than letting your numbers drift.

Purchasing is where you restock. Add a supplier with a name and phone number, then create an order, step the quantities up and send it. The reorder panel on the right suggests orders for everything already below its level. When the goods arrive, press Receive and the quantities are booked in as a new batch.

Does the till work when the internet drops?

Yes, for selling. Ring the sale up exactly as normal: the Charge button reads "Save offline", the sale is written to that device, and the customer gets a receipt printed there and then. An amber badge at the top of the till counts what is waiting. When the line comes back the sales go up on their own, in the order you took them, and the badge clears.

Both tills do this — Shop and Pharmacy dispense. Nothing is charged twice: each ticket carries its own reference, so even a sale that reached the server just as the connection died is recognised rather than repeated.

Two things to know. Stock is drawn when the sale reaches the server, not when you ring it up, so if you sell the last of something twice while offline the second one comes back refused — it is listed with the reason, and you can retry or discard it from the same badge. And screens you have never opened on that device will not open offline; the till, and anything else you have already visited, will.

How do I keep track of medicine expiry dates?

Every intake is its own batch with its own expiry date. Set it when you add a medicine with opening stock, or on the row menu when you add more stock later. Stock received against a purchase order comes in with no expiry attached, so add it on the row afterwards.

The medicines table is sorted nearest expiry first, so the things you need to worry about are always at the top. A date within sixty days turns amber, within fourteen days it turns red, and a tile at the top of the screen tells you how much is expiring within thirty days and what that stock cost you.

Filter the table by Expiring to see only those rows, and export the list to a spreadsheet if you need to take it to your supplier.

Does the pharmacy till sell the oldest stock first?

Yes — first expired, first out. Every dispense draws from whichever batch expires soonest and works forward from there, and batches with no expiry date are left until last. Each line on the ticket shows you the batch code and the date it is coming from.

One thing it will not do is stop you: if a batch is already past its date it is still the first one drawn, because it expires soonest. Pulling expired stock off the shelf is still a job for a person. The colour coding on the medicines table is there to make sure you see it coming.

Rentals

How do I set up a property and its units?

Add a property first — a name, the type (villa, apartment block, shop, office or compound), and optionally a photo, notes and an address. Mogadishu has no formal street addressing, so the address is free text and you can leave it out entirely.

Then add units to it, each with its own monthly rent. If you have a tenant already, put their name and phone in and the unit is marked Occupied; leave them blank and it stays Vacant until you assign somebody. You can create the building and its first unit in one go if you are starting from nothing.

Caretakers, guards and cleaners are assigned to a building from your staff list, and they show up in an "On site" panel on that property’s page — so whoever is looking at a problem can see who to call.

Do I have to raise the rent charges myself every month?

No. Every night Raasuum raises one charge per occupied unit for the current month, using the rent on the active lease, or the unit’s rent if there is no lease. The due date is the day of the month the lease started, clamped to the length of the month so a lease that starts on the 31st never slides into the next one.

A charge that goes past its due date unpaid flips to Overdue on its own, and the Properties screen totals up what is collected, pending and overdue across the whole portfolio. Charges are only ever raised once per unit per month, so nothing is ever double-billed.

How is a security deposit handled?

You record it on the lease when the tenancy starts, and from then on it sits in its own "Deposit held" block on the unit. It is never treated as income — it does not go into the Money ledger, it is not added to what you have collected, and it never appears in a revenue figure or a report.

That is deliberate. A deposit is someone else’s money that you are holding, and counting it as rent makes your books look better than they are. When you end the lease the amount stops showing as held, because it went back to whoever moved out.

Handing the cash back is something you do in person — the app does not move money, it just stops claiming you are holding it.

How do I record a rent payment, and does the tenant get reminded?

Open the unit and press Record payment. Pick how they paid — EVC Plus, Zaad, Sahal, eDahab or cash — and you can note the last two digits of the number the money came from. It settles the oldest month they still owe, and if they are already paid up it books the payment as an advance for the current month instead. The payment lands in your shared Money ledger at the same moment.

Reminders are opt-in, from Messaging. Create a rule on "Rent charged for the month", pick SMS or WhatsApp, and the tenant is texted when the charge is raised — not when it is paid. The unit needs a tenant phone number saved for anything to go out.

How do repairs work, and can tenants report a fault themselves?

Log a repair from the Maintenance board with what needs fixing, which unit, and how urgent it is. Assign it to one of your own staff or type in an outside contractor, mark it started, and close it when it is done. The board defaults to a "Needs work" filter so you are looking at the open jobs, not the history.

When you mark a job done it asks what it cost. Anything above zero writes a repair expense against that property automatically, tagged back to the ticket, so your running costs build themselves as you close jobs. Leave it at zero and nothing is recorded.

For tenants, open Maintenance and create a reporting link for a unit. Print it and stick it on the door, or send it to them. They fill in what is wrong and how urgent it is — no account, no password — and it arrives on your board marked as a tenant report. The link keeps working forever, so a notice on a wall does not go stale. They cannot see the ticket afterwards, so if it is serious, call them back.

Restaurant

How do I put my menu and my tables in?

Add each dish with a name, the menu section it belongs to, what it costs you and what you sell it for, and a photo if you have one. There is no SKU and no stock count, because a kitchen cooks to order rather than selling a thing off a shelf.

Every dish has an availability switch. Flick it off the moment an ingredient runs out and the dish disappears from the till immediately, so nobody takes an order the kitchen cannot cook.

Tables are the one thing you cannot add yourself yet — there is no table editor in the dashboard. Send us your table numbers and how many seats each one has and we will set the floor up for you.

How does an order get from the till to the kitchen?

Tap the dishes, choose Dine in, Takeaway or Delivery, and for a dine-in pick the table — leave it blank for a walk-in. Press Send to kitchen and the ticket appears on the kitchen board with a number like CN-892. No money is taken at that point; the till is for getting the order to the kitchen, not for charging.

On the board a ticket moves one step at a time: Start cooking, then Mark ready, then Serve to table. Anyone signed in can move it, and the board refreshes itself every ten seconds so the screen in the kitchen and the screen on the floor never disagree for long.

A table shows as busy for as long as it has a live ticket, and frees up when that ticket is served.

When do I take the money for a table?

Paying is kept separate from cooking, because a dine-in is served and then paid while a takeaway is usually paid and then collected. Once a ticket is served but not yet settled it sits in an "Awaiting payment" strip at the top of the kitchen board, oldest first, with a running total — so nothing walks out unpaid.

Press Settle and pick the tender: cash, EVC Plus, Zaad, Sahal or eDahab. It posts to your shared Money ledger straight away. Restaurant tickets cannot go on credit, because a table has no customer attached to owe it.

Money, invoices & reports

What exactly is in the Money ledger?

Every payment your business actually received, from every module, in one list: shop and pharmacy sales, credit you have collected, settled restaurant tickets, rent payments, and invoices you marked as paid. Each row shows the reference, which module earned it, the wallet it came through and the amount.

There is no way to type an entry in by hand, and that is on purpose — money is recorded by the thing that earned it, so the ledger cannot drift away from your sales and your rent. The screen shows today; use Reports for a longer window, and the Export button to pull the rows into a spreadsheet.

Which mobile-money wallets can I collect on?

EVC Plus (Hormuud), Zaad (Telesom), Sahal (Golis) and eDahab (Somtel), plus plain cash. The Money screen lists all four with their provider and tells you whether each one is connected yet or not.

Payments run through WaafiPay. Raasuum never sees or stores a customer’s PIN, and the only part of a payer’s number ever kept is the last two digits — enough to match a payment against a receipt, not enough to be worth stealing.

How do I send an invoice and mark it paid?

New invoice takes the customer’s name and phone, your line items with quantity and unit price, which module the work belongs to, an optional due date and an optional discount off the whole invoice. Save it as a draft or as pending. Numbering is automatic, like INV-2026-0001, and the total is always recalculated on our side from the lines.

Open an invoice to print it or save it as a PDF through your browser. Marking it paid asks how the customer paid, and that is the step that posts the money to your ledger. A paid invoice can no longer be edited, so the record of what you charged stays put.

Invoices do not carry a tax line — sales tax is a till setting that applies to what you ring up on the counter.

What reports do I get, and can I get my data out?

Reports covers today, the last seven days, this month or the year: total revenue and how many transactions made it, your average sale, customer numbers, which module is earning most, and your best-selling products by revenue.

The financial statement is a printable monthly income statement — money received and how much of it was sales tax, what was collected on each wallet, cost of goods, gross profit, staff payroll and property running costs, and the net profit at the bottom.

For raw data, the Export button on Invoices, the Money ledger, Shop stock and Pharmacy medicines downloads exactly the rows on screen with your filters still applied. The file opens cleanly in Excel with Somali names intact.

Messaging & billing

What can Raasuum send to customers automatically?

Three things, each tied to something that really happens in the app. When rent is charged for the month, the tenant gets a reminder. When a product drops below its reorder level, you get told. When a sale is completed, the customer gets their receipt.

Pick SMS or WhatsApp for each one and edit the wording yourself — placeholders like {name}, {amount} and {business} are filled in when it sends. You get one rule per trigger per channel, and every rule has a switch so you can turn it off for a while without losing it.

We deliberately do not offer triggers for things the app cannot actually detect, so what you see on that screen is the full list.

My rules are switched on but nothing is going out.

Check the message log at the bottom of the Messaging screen — every attempt is recorded there with a status. "Not sent — no provider" means your SMS or WhatsApp connection has not been set up yet; message us and we will sort it.

If some messages send and others do not, it is usually one of three things: sale receipts only go out when a customer was attached to the sale, so walk-ins get nothing; rent reminders need a phone number saved on the unit; and low-stock alerts go to the owner’s phone, not to a customer.

How does billing work, and what happens when my trial ends?

Your business starts on a free trial with everything switched on. When it runs out the account goes past due and you get a week of grace to pay — after that the business is suspended and will not open until the plan is settled. Nothing is deleted; it is waiting for you.

Only an owner can change the plan, from Settings then Billing. Moving down a plan or to the free tier happens immediately. Moving up asks for a wallet and the number to charge, pushes the request to your handset, and switches the plan the moment the payment clears. The same screen holds your payout number — the mobile-money number we send your money to.
